Pavilion2Expo Square is located in midtown Tulsa, Oklahoma. They facilitate many and multiple events on a wide and varied expanse of indoor and outdoor arenas. People from the area, region and nationally visit Expo Square throughout the year to see and participate in the events occurring on the property – from concerts to exhibit space and from animal shows to racing.

The Scope

Expo Square is located on 240 acres of prime real estate in midtown Tulsa, Oklahoma. Serving as a major destination site for premier family entertainment, Expo Square presents more than 400 events each year in five major multi-use facilities including the historic Pavilion, a 6,000 seat arena, the Built Ford Tough Livestock Arena, a 2,500 seat arena, the River Spirit Expo with approximately 448,400 square feet of exhibit space, Central Park Hall with approximately 43,000 square feet of exhibit space and the Exchange Center with approximately 58,500 square feet of exhibit space. Other venues include the Big Splash Water Park, the Tulsa Drillers Baseball Club, the Double A affiliate of the Colorado Rockies, Fair Meadows (including live horse racing, a simulcast racing facility, and full-service restaurant), and the 11-day Tulsa State Fair held each Fall.

The Challenge

Expo Square had never managed its own ticket office operation. Their four-wall rental agreement provided event promoters the ability to hire third-party ticket agencies to sell and control their ticket inventory. Unfortunately, ticket agency personnel did not adhere to the same high level of customer service held by the Expo Square operation and, over time, customer service diminished and the public became confused by the constant change in ticket agencies and outlets. Management was unable to control agency imposed customer transaction fees and Expo Square’s community reputation and brand identity was at risk.

Denny Tuttle, Expo Square’s late and former President/CEO, made the decision to take control of the ticketing and customer service operation. Expo Ticket Xpress was created, a self-contained in-house ticketing operation to manage every event and ticket transaction at Expo Square’s event complex. Management researched over 48 ticketing software products and underwent countless system presentations. Ease-of-use, flexible reporting and the ability to own, manage and control in-house and internet-based ticket transactions was the key decision criteria. In the end, Choice Ticketing Systems enterprise-wide, box office, internet ticketing and gate access control solution was selected to launch a new era of ticketing for Expo Square.

The Result

Ticketing services are now a required part of the contract agreement and Expo Square now controls and manages all ticketing for events and activities, maintaining their high standard of customer service and regaining command of their brand identity. Through the Choice Ticketing System solution, Expo Square paid for their system in a matter of months as all ticket transaction fees are now under their jurisdiction. The decision to take back control of their ticketing operation improved customer service, reinvigorated the Expo Square brand identity and is now significantly adding to their bottom line.
